I will admit there was some very challenging times in the summer with us having 100-150 staff at a single event which had been prepped and organised by 2 staff (most agencies will have a team of 3/4 minimum) so we were very stretched at points. We have since (October 2022) doubled our staffing team in the office from 2-4 to allow us to increase our capabilities for Summer 2023.
Also, for longer events with long travel time, we book accommodation the night before so that there isn't a mega early start travelling followed by a long shift. We find this helps our staff be fresher for the remainder of the event rather than being fatigued for the second day of a 3/4/5day event.
On the payment front, if a timesheet is sent late after the payroll submission deadline this will then be processed for the following week, however we offer to advance 60% of their payment early to allow staff to have money coming in rather than waiting the extra week. It is 60% to protect against any unexpected Tax/Ni (It can take a week or 2 to get someone's tax code through). If we were to advance 100% and then they pay tax, this then gets messy for the Tax front and would mean that the employee would have to pay money back, so its easier to advance 60% to avoid all that and make it smoother. Of course, advances are not ideal on cash flow fronts for the business so we do all we can to avoid this, if there is an event with 40-50 staff working 40 hours, you can imagine 60% of their pay would add up quite quickly...
