We are seeking an experienced, responsible and resourceful Coaching / Operations Coordinator to join the Operations Team in delivering our global Managed Coaching Service to our clients globally.
About our Coordinators
Our Coordinators provide support for our Clients, Coaches, and the wider Acuity Coaching team. They manage coaching assignments, provide administrative support to the Operations Director and the Operations Team, and work on ad hoc projects, all whilst working remotely. The role requires experience working under pressure, to tight deadlines, and proactively organising and managing a demanding workload in a sometimes-reactive work environment.
The most important characteristics of our Coordinators are that they are highly organised and responsive, exceptionally detail conscious, thorough, client focused, and process driven. The role requires availability Monday to Friday to ensure things are actioned and completed on time, accurately and professionally. Coaching Coordinators are excellent communicators (both verbally and in writing), enjoy juggling multiple priorities and are obsessive about tracking everything through to completion.
The Ops team are dynamic and inclusive, with fabulous camaraderie and a cohesive culture, and they cover and support each other where necessary. No one is left to struggle alone.
About the role
As a Coaching / Operations Coordinator you will be involved in:
- Client and coach liaison, maintaining and building good relationships to ensure assignments run smoothly and issues are escalated and resolved quickly.
- Monitoring and tracking progress of all active coaching assignments; maintaining accurate management information (spreadsheets, databases and Smartsheets); ensuring documentation is received in a timely manner, kept up to date and digitally filed; liaising with Clients and Coaches on all aspects of assignment management.
- Providing up-to-date Management Information to our Clients; maintaining existing spreadsheets and online systems; preparing and analysing data from various sources to create charts, pivot tables, graphs, statistics and dashboards for our quarterly Client reviews.
- Setting up virtual and face to face meetings for our Clients, Coaches, and the Management team as and when required.
- Managing coach onboarding
- Assisting with coach onboarding/referrals
- Assisting with ad hoc requests and projects as and when required – this could involve documentation, new processes, testing new systems, research, or analytics.
About you:
To be successful in this role you will need to demonstrate the following:
- Exceptional numeracy, literacy and verbal/written communication skills
- Excellent time management and the ability to prioritise a demanding and diverse workload
- Exceptional attention to detail - this is what sets you apart
- Exceptional organisational skills and the ability to track, monitor and progress all tasks through to completion
- Solid IT knowledge, particularly in the use of Excel and Word as well as proven experience with online cloud-based systems such as Dropbox, Zoom, Teams, SmartSheets etc
- A customer-centric approach to everything you do
- Good at project planning and management, ensuring critical deadlines are met
- Ability to deliver high quality work at all times
The successful candidate:
- Should have a minimum of 2 years’ experience working remotely
- MUST be registered as self-employed with HMRC
- Must have at least one other client
- Will require their own computer/laptop, printer/phone and any associated tools for the role
- Should have good availability during weekdays and able to be responsive to requests
Additional information:
- The rate for this role is £17.50 per hour and envisaged hours can be anywhere from 40 to 80 per month – around £700 - £1,400 per month
- Hours are likely to vary by week/month in response to work flow
- Hours are flexible to suit the individual, but would generally be expected to be delivered between 9am and 5pm, Monday to Friday
- Software requirements will be advised
- Full and comprehensive training will be provided to ensure full and complete understanding and familiarity with current processes and practices
